Company Policies & Terms

Clear Terms, No Surprises

These policies explain how we schedule, bill, and protect both your property and our team. Please review them before service begins — approving service indicates your agreement.

By approving service — verbally, in writing, by text or email, or by allowing work to begin — the customer authorizes Crystal Water Ponds to perform the requested work and agrees to pay all applicable labor, materials, supplies, and approved additional work.

Where reasonably possible, we will confirm the scope of work with you before beginning. If conditions on site differ from what was described, we will discuss options with you before proceeding with additional work.

Payment is due upon completion of service unless other arrangements have been agreed to in advance. Crystal Water Ponds accepts cash, Zelle, and checks. Tap-to-pay and card payments are accepted with a 3.5% processing charge.

First-time customers must pay upfront after the service is completed; the appointment is not considered fully settled until payment has been received in full. Returned checks, chargebacks, or failed payments may incur additional fees, and unpaid balances may delay or suspend future scheduling.

All work is billed on a time-and-materials basis. The minimum labor charge is $200 for the first hour. After the first hour, labor is billed at $100 per hour, per worker on site.

Any estimate provided is a good-faith approximation based on the information available at the time and on visible conditions. Estimates are not fixed-price quotes. Actual charges are based on the time required, the number of workers needed, and the materials and supplies used.

Some jobs require more time or more personnel than initially anticipated due to pond size, debris volume, access limitations, equipment condition, or unexpected findings. Each additional worker on site is billed at the applicable hourly labor rate.

Where reasonably possible, Crystal Water Ponds will notify the customer when a job is expected to exceed the anticipated time or crew size.

Pond supplies, replacement parts, filter media, plumbing components, chemicals, treatments, liners, fittings, and any other materials required to complete a service are billed as additional charges separate from labor.

Special-order parts may require a deposit and may affect scheduling. Materials remain the property of Crystal Water Ponds until paid for in full.

Crystal Water Ponds takes reasonable care when working around fish, plants, and other aquatic life. However, we cannot guarantee the survival, health, or condition of fish or other aquatic organisms before, during, or after service.

Fish and aquatic life can be affected by pre-existing conditions, water quality, temperature changes, oxygen levels, disease, parasites, stress, chemicals, medications, environmental conditions, equipment failures, predators, and other circumstances outside our control.

Customers are responsible for informing Crystal Water Ponds of any known fish health issues, special care requirements, medications currently in use, recent treatments, or chemical sensitivities before service begins. Crystal Water Ponds is not responsible for illness, injury, loss, or death of fish, plants, or aquatic life resulting from these or similar factors.

Standard chemicals or treatments necessary for a service may be supplied by Crystal Water Ponds and billed as an additional material cost.

If a customer provides their own chemicals or treatments, Crystal Water Ponds may use them at the customer's request. The customer is responsible for confirming that those products are appropriate for their pond and for providing accurate product, dosage, and safety information.

Crystal Water Ponds is not responsible for damage or consequences resulting from customer-supplied chemicals, incorrect dosage information, contaminated products, expired products, incompatible chemicals, mislabeled products, or undisclosed prior chemical treatments.

Crystal Water Ponds is not responsible for problems that existed before service began, or for problems that cannot reasonably be identified until work has started.

This includes, without limitation, hidden leaks, underground plumbing issues, deteriorated liners, cracked or failing structures, failing pumps, damaged or unsafe electrical components, concealed plumbing, structural deterioration, improper prior installations, and damage concealed by water, debris, rock, or landscaping.

If additional work or a pre-existing condition is discovered during service, Crystal Water Ponds will notify the customer and obtain approval before proceeding whenever reasonably possible.

Customers are responsible for disclosing all known problems with the pond or water feature before service begins, including known leaks, electrical issues, pump problems, plumbing modifications, prior repairs, recent chemical treatments, fish health concerns, and any areas of the property that should be avoided.

Undisclosed conditions may increase service time and cost, and Crystal Water Ponds is not responsible for outcomes resulting from information that was not provided.

Pumps, lights, timers, controllers, GFCI outlets, wiring, plumbing lines, valves, filters, and filtration systems may be aged, worn, or improperly installed. Equipment can fail during or after service due to age, wear, prior installation quality, power issues, or normal end-of-life failure.

Crystal Water Ponds is not responsible for the failure of existing equipment, electrical components, or plumbing that fails during or after service where the failure is not caused by our negligence. We do not perform licensed electrical work; customers may be referred to a licensed electrician when appropriate.

Customer-supplied equipment is used at the customer's risk, and Crystal Water Ponds does not warranty parts or equipment supplied by the customer.

Water features often include buried plumbing, electrical lines, or structural components that are not visible or documented. Customers are responsible for identifying the location of any known buried lines, irrigation, low-voltage wiring, or utilities in the work area.

Crystal Water Ponds is not responsible for damage to unmarked, undocumented, improperly installed, or unexpectedly located underground lines or structural elements.

Water clarity and algae control depend on many variables including sunlight, temperature, rainfall, runoff, fish load, feeding habits, plant coverage, filtration capacity, and circulation. Results can vary and may take time to stabilize.

Crystal Water Ponds does not guarantee specific water clarity results, algae elimination, or lasting water chemistry outcomes, and is not responsible for changes in water quality occurring after service.

We take reasonable care around plants, turf, hardscape, and surrounding landscaping. Some disturbance to plantings, mulch, gravel, or turf may be unavoidable while accessing and servicing a water feature.

Crystal Water Ponds is not responsible for the condition of aquatic or landscape plants after service, or for wildlife, predators, or animal activity affecting the water feature.

Appointments are scheduled in advance and arrival windows are approximate. We ask that cancellations or reschedules be provided with reasonable advance notice; short-notice cancellations, lockouts, or inaccessible work areas may result in a trip or minimum labor charge.

Service may be delayed by weather, site conditions, parts availability, equipment issues, prior job overruns, or other circumstances. Crystal Water Ponds is not responsible for losses resulting from scheduling delays.

Customers are responsible for providing safe, unobstructed access to the water feature, including gate access, pet containment, water access, and electrical power where required.

If access cannot be provided at the scheduled time, or if site conditions are unsafe, service may be rescheduled and a trip or minimum labor charge may apply.

Rain, storms, extreme heat or cold, freezing conditions, drought, wind, wildfire smoke, flooding, runoff, falling debris, and other environmental factors can affect both scheduling and pond conditions.

Crystal Water Ponds is not responsible for damage, water loss, water quality changes, or fish and plant loss caused by weather or environmental conditions.

Emergency or same-day service may be available subject to crew availability and may be billed at applicable labor rates plus materials.

If a repair is discovered to be necessary during a scheduled service, we will seek approval before proceeding whenever reasonably possible. If a condition presents an immediate risk of significant damage and the customer cannot be reached, we may take reasonable protective action such as shutting down equipment.

Removal and disposal of muck, sludge, leaves, plant matter, and other pond debris may be performed on site or hauled away. Hauling, dumping, and disposal fees may be billed as additional charges.

Where permitted, debris may be placed in customer-designated compost, green waste, or disposal areas.

Crystal Water Ponds may take photographs or video before, during, and after service to document conditions, work performed, and completed results.

Documentation may be used for service records, billing support, quality control, training, and — unless the customer requests otherwise in writing — promotional purposes. We do not publish customer names or addresses.

Crystal Water Ponds is not responsible for loss, damage, or delay resulting from circumstances outside our reasonable control, including pre-existing conditions, hidden damage, equipment failure, power interruptions, weather, environmental factors, wildlife, customer-supplied products or equipment, third-party work, or information that was not disclosed to us.

Where Crystal Water Ponds is found responsible for a loss, our liability is limited to the amount paid for the specific service that gave rise to the claim. Nothing in these terms limits liability where such limitation is not permitted by applicable law.

These policies may be updated from time to time and the version in effect at the time of service applies.

Questions about any policy? Ask us before your appointment — we're happy to walk through scope, billing, and expectations so everyone is on the same page.
